How Equinox Estates protects, uses & safeguards your personal information

1. Who we are

Equinox Estates Group Ltd (“Equinox Estates”, “we”, “our”, “us”) is a boutique real-estate advisory and capital-broking company.

We act as Data Controller for the personal data described in this notice.

2. What this notice covers

  • Visitors to equinoxestatesgroup.com and our social-media pages.
  • Clients and prospects engaging us to buy, sell or value property, source off-market deals, or arrange bridge/structured finance.
  • High-net-worth individuals (HNWIs), family offices, private investors and professional advisers who interact with us.
  • People who request market-insight emails, WhatsApp updates or attend our events.

We do not carry out lettings, rent collection or tenant referencing; those activities and their related data are therefore excluded.

3. Personal data we collect & why

We process your information only when there is a clear reason to do so.
Typical scenarios are:

  • Registering buyers, sellers, family-office & HNWI investors
    • details captured: name, email / phone, investment criteria, property details
    • purpose: match you with suitable on- or off-market opportunities
    • lawful basis: performance of a contract or our legitimate interest in operating our business
  • Carrying out mandatory AML / KYC checks
    • details captured: passport or ID, proof of address, source-of-funds evidence, corporate structure charts
    • purpose: comply with UK Money-Laundering Regulations and protect all parties from fraud
    • lawful basis: legal obligation
  • Structuring bridge-finance or other capital solutions
    • details captured: financial statements, security schedules, bank co-ordinates
    • purpose: prepare credit packs for private lenders / funders and issue term sheets
    • lawful basis: contract and legitimate interest
  • Managing an active transaction (offers, heads of terms, exchange & completion)
    • details captured: deal correspondence, pricing, contractual documents
    • purpose: progress the sale, purchase or funding you have instructed us to handle

  • Invoicing and collecting our fees
    • details captured: billing address, bank details, payment history
    • purpose: receive payment for professional services rendered

  • Sending market-insight emails or WhatsApp alerts
    • details captured: name, contact details, communication preferences
    • purpose: keep you informed of relevant market trends and new opportunities
    • lawful basis: legitimate interest (with easy opt-out in every message)
  • Operating our website & analytics
    • details captured: IP address, device type, pages visited (via cookies)
    • purpose: improve site performance and understand content that interests visitors
    • lawful basis: consent (obtained through the cookie banner)

*We believe recipients reasonably expect occasional insights about UK/UAE property and finance. Every message includes an unsubscribe or “mute” option.

4. Special-category data

We do not deliberately collect sensitive data (health, ethnicity, political opinions, etc.). Should such information arise incidentally (e.g. passport photo), we process it only for AML verification and immediately store it under enhanced security.

5. Who we share data with

We share personal data strictly on a need-to-know basis with:

  • Private lenders & funding partners – to assess/approve finance.
  • Professional advisers – solicitors, valuers, accountants, tax and compliance consultants.
  • Co-marketing or joint-agency partners – where a mandate is shared (with your consent).
  • Technology & cloud providers – CRM, document storage, e-signature, email marketing (all under contract to keep data secure and inside the EEA/UK or with Standard Contractual Clauses).
  • Regulators, law-enforcement or courts only when required by law or to defend legal rights.

We never sell or lease your data to third-party marketers.

6. International transfers

Because many clients, investors and funders are based outside the UK/EEA, data may be accessed from or stored on servers in other jurisdictions (including the UAE and the USA). Whenever we transfer data internationally we rely on:

  • UK GDPR “adequacy” decisions where available; or
  • Standard Contractual Clauses + additional safeguards.

Documents may be retained longer where required for legal claims or regulatory investigations.

  • TLS (HTTPS) encryption for all web traffic.
  • ISO-27001 or SOC-2 certified cloud vendors.
  • Role-based access, MFA for staff, quarterly access reviews.
  • Encrypted-at-rest document vault for ID and KYC files.

9. Your rights

You can access, rectify, erase, restrict, object to or port the personal data we hold, and you may withdraw consent for marketing at any time.
Simply email rachel@equinoxestates.co. We will respond within one month.

If you are not satisfied, you may complain to the relevant supervisory authority in your jurisdiction (e.g. UK Information Commissioner’s Office) or seek a judicial remedy.

10. Marketing opt-out

Email – click “unsubscribe” at the bottom of any message.
WhatsApp – reply “STOP”.
We will still send essential service emails relating to active mandates.

11. Links & social-media plugins

Our site may link to external sites or use plugins (e.g. LinkedIn share button). Equinox does not control and is not responsible for those third-party privacy practices.

We review this notice periodically and will post any updates here.
